Capture the complete statement

Record employer, EIN, employee identity match, wages, federal withholding, Social Security and Medicare boxes, state and local jurisdictions, retirement indicators, box 12 codes, and box 14 labels. Check that all pages and copy sections needed for state work are readable.

Store sensitive identifiers securely and keep them out of general task names and reminder messages.

Detect duplicates and corrections

Clients may upload phone photos, portal PDFs, payroll downloads, and corrected forms for the same employer. Match issuer, amounts, identifiers, and corrected status before deciding whether records are duplicates.

Retain the superseded evidence and show which version controls the return.

Reconcile client context

Compare employer and state information with organizer answers, prior-year records, residency, and reported job changes. New states, statutory employee boxes, clergy indicators, or unusual box 14 entries may need preparer review.

A reviewer should clear material differences and confirm that withholding and state wages reached the correct returns.
