Create the expected-item model

Combine engagement scope, organizer answers, prior-year issuers, known carryovers, and current-year life events into a client-specific list. Label each item required, conditional, expected from prior year, or informational.

Do not assume a prior-year form will recur or that a new form is unnecessary because it was absent before. The list should generate questions, not predetermined tax facts.

Control every intake channel

Give clients one approved secure path and define how staff handles documents that arrive by mail, in person, mobile scan, or an unapproved channel. Preserve the original, upload attribution, and any conversion or combination performed.

The IRS reminds tax professionals to protect taxpayer data and maintain a security plan. Fit collection tools and staff behavior into the firm's current written information security program.

Run a completeness review

Check document identity, tax year, pages, legibility, duplicates, corrected forms, supplemental statements, and client ownership. Route tax-treatment questions to the preparer instead of asking intake staff to infer the answer.

A completion summary lists received items, unresolved requests, client explanations, and issues that may block preparation or filing.

Measure the workflow honestly

Track request cycles, replacement reasons, age of open items, and exceptions by type. These observations improve the firm's own process but should not become public performance claims without a documented method and representative data.

Review notification wording and channel effectiveness with actual client feedback, accessibility needs, and security constraints.
