Source Document Reconciliation for Tax Returns: A Practical Control

Reconcile tax source documents to workpapers, software inputs, bookkeeping records, client answers, and final return outputs.

Define the records being reconciled

Common records include source documents, organizer answers, prior-year returns, bookkeeping balances, transcripts, workpapers, software inputs, diagnostics, and final forms. Name which record is authoritative for each fact and how conflicts are resolved.

Do not assume an integration removes reconciliation. It changes the transfer path but not the need to evaluate completeness and consistency.

Use a repeatable variance model

Classify differences as missing evidence, duplicate, corrected document, timing, classification, identity, jurisdiction, data transfer, tax treatment, or unresolved client question. Give each item an owner and blocking status.

Record the evidence and rationale used to clear material variances. Generic notes such as 'reviewed' are not useful later.

Reconcile through final output

After data entry, compare source totals and key workpaper conclusions to the calculated return. Confirm that state, entity, carryover, withholding, and payment data reached the intended forms.

Review final client deliverables and filing instructions for consistency with the approved return.

Learn from recurring differences

Aggregate correction categories to improve requests, parsers, mappings, training, and software configuration. Keep the evidence internal unless the firm has a sound, publishable methodology for any performance claim.

Reassess the control whenever a new integration, automation, return type, or document source is introduced.
