Map the current ProSeries path
Document how clients provide information, how staff creates returns, how source data is entered, who clears diagnostics, and how reviewers request changes. A useful map includes systems and people, because most bottlenecks happen at the boundary between them.
Intuit's current ProSeries page describes forms-based entry, diagnostics, Hosting, and Intuit Link for encrypted document collection. Treat those as official product descriptions, then verify the exact edition and add-ons used by the firm.
Create explicit automation boundaries
Good candidates include file inventory, document classification, extraction proposals, checklist updates, task routing, and draft client questions. Tax positions, ambiguous facts, elections, and final filing decisions need named professional owners.
If an automation writes or imports values, capture the source, destination, validation result, and change history. A reviewer should not need to trust an invisible transfer.
Design the exception loop
Separate document exceptions from tax exceptions. A missing page, illegible statement, conflicting SSN, unexpected state, and uncertain tax treatment require different responders and service levels.
Return resolved client questions to the workpaper or case record instead of leaving the answer only in email. That provides continuity during review and future-year comparisons.
Test the real deployment
Run the pilot in the same desktop, network, or hosted environment used in season. Confirm concurrent use, updates, permissions, printing, diagnostics, and recovery when a connection is unavailable.
Approve production use only after preparers and reviewers can explain the fallback path and identify the authoritative record for each step.
