Build a client-specific expected-item list

Start with the engagement, organizer, prior-year return, and current-year changes. The list should distinguish required items, conditional items, and questions that only a preparer can resolve.

Intuit describes Intuit Link as an encrypted portal for gathering and managing tax documents. Confirm its current configuration, retention, and client experience in your ProSeries environment.

Use status language clients can understand

Statuses such as requested, received, needs replacement, under review, and complete are more useful than internal tax jargon. Explain why a replacement is needed without exposing sensitive information in an insecure notification.

Avoid sending the same request from multiple systems. Duplicate reminders teach clients to ignore all of them and make the audit trail harder to follow.

Separate intake questions from tax advice

Front-desk staff can ask for a missing page or confirm whether a client received a form. Questions about eligibility, entity treatment, basis, or filing position should route to a qualified preparer.

Record the question, response, responder, channel, and date in the case so the answer travels with the return.

Close intake deliberately

A named person should approve the packet for preparation with a concise open-item summary. If work begins before everything is present, label the return as partial and show what remains outstanding.

Review collection performance by request category and unresolved age, not by invented time-savings claims. The operational evidence will show which prompts and channels work for your own clients.
