Define the trace record
At minimum, store document identity, tax year, page or region, extracted text or value, normalization, proposed destination, validation result, exception status, reviewer change, and approval. Include model or rule version when it affects reproducibility.
The record should remain readable after staff changes and software updates.
Make traceability useful in review
Reviewers need one action to move from a field or workpaper line to the source evidence. Show adjacent context and supplemental pages so a cropped value does not create false certainty.
When multiple documents support a conclusion, link the complete set and the preparer's reasoning.
Handle transformation honestly
Record OCR, currency normalization, sign changes, date parsing, allocation, aggregation, and mapping. A correct-looking destination value can still be wrong if the transformation is invisible.
Keep the original file and a record of any conversion, split, merge, or annotation.
Test durability and access
Verify that trace links survive export, archiving, client renaming, and vendor changes. Apply role-based access and retention controls because the evidence contains taxpayer information.
Sample trace records regularly and after product releases; correct broken chains before expanding use.
