Choose bounded kiosk tasks
Good candidates include arrival check-in, language and accessibility preference, appointment lookup, contact confirmation, document receipt acknowledgment, secure scanning, organizer launch, and staff notification. Keep advice, eligibility decisions, identity exceptions, and filing commitments with trained staff.
Offer a visible way to request human help at every step.
Protect the physical session
Use privacy screens, automatic timeout, session clearing, secure scanning, minimal on-screen identifiers, locked-down device access, and staff procedures for abandoned originals. Do not leave prior-client data available after reset.
Fit device management, storage, vendor access, logs, retention, and incident response into the firm's security program.
Design accessible intake
Provide readable contrast, large controls, keyboard or assistive access where applicable, plain language, multilingual support appropriate to the firm, and an alternative staffed path. Test with real office lighting, noise, mobility constraints, and document types.
Avoid making the kiosk mandatory for a client who cannot use it effectively.
Connect the handoff
Create or update one case with arrival state, completed tasks, received documents, unresolved questions, accommodation needs, and assigned staff member. Print or display only a non-sensitive confirmation.
Measure failures, restarts, staff interventions, and lost documents before expanding to more offices; do not assume self-service automatically reduces work.
